Its documented setup requires a handoff inbox with 24/7 availability; that setting does not promise a staffed human response at every hour. A CRO should approve buyer-facing use only with a test of who receives an ambiguous, disputed, or time-sensitive quote question, what the buyer sees when no representative is available, and how the answer is resolved before the deal moves.
What the source establishes

Define coverage at the live quote, not at the CRM
Assign the quote owner and a named fallback team for each buyer-facing quote class. Identify the source of approved product and commercial information, the buyer questions that can be answered from that source, and the cases that require a seller, pricing owner, legal counsel, or another specialist. Record the buyer's expected timezone and decision date as well as the business-hours and after-hours route. The CRO's decision is not whether an AI chat box can be switched on; it is whether an unanswered or misleading quote-stage question has a reliable accountable path before the buyer signs or the offer expires.
HubSpot's setup language says the handoff inbox must have 24/7 availability. Treat that as an inbox configuration requirement, not a representation that people monitor it around the clock. Confirm the actual roster, routing, response expectation, holiday coverage, queue visibility, owner absence, and escalation to the commercial authority. If the organization cannot provide the intended human support, set truthful buyer messages, narrow use by channel/time or quote class, or keep the agent inactive for that scope.
Test an exception through to resolution
Before launch, use representative but protected test quotes to ask routine sourced questions, unclear terms, conflicting files, an out-of-date discount, a request for a nonstandard promise, and a case the agent should not answer. Observe what source, if any, supports the reply, whether clarification is requested, which cases trigger handoff, whose queue receives them, and what the buyer sees if a representative is unavailable. Test both a quote with an assigned owner and one without one; the documented fallback choices do not prove the customer's actual configuration behaves as intended.
Keep the conversation, quote version, applicable source version, requested exception, timestamp, routing event, human response, correction, approval, buyer notification, and final quote status linked. A handoff that disappears into a queue is not a resolved objection. Decide the threshold at which the seller or pricing owner must stop an unsupported promise, issue a corrected quote, or clarify terms before signature. This is a quote-stage service-continuity test, distinct from the separate question of whether an agent may change price, issue an offer, or write a contract.
Measure coverage and keep sources fresh
During a bounded rollout, review answer accuracy, source currency, ambiguous replies, inappropriate certainty, handoff detection, queue age, buyer-visible unavailable messages, resolution time, repeated questions, correction rates, abandoned conversations, and actual signed-quote quality. Segment by owner present versus absent, time of day, region, quote type, product and term change. HubSpot recommends regularly updated knowledge and warns that AI answers may contain errors and sensitive information should not be entered. Assign a source maintainer who checks files and public URLs as terms change, without assuming the tool verifies commercial authority.
Approve expansion only if the buyer journey and human coverage meet the organization's stated threshold without hiding unresolved questions. The public beta documentation describes product behavior and configuration options, not an audit of this tenant, staffing, legal terms, service commitments, price accuracy, deal-cycle benefit, or signed revenue. Revenue leadership should preserve that distinction and involve product, finance, legal, privacy, security, customer service, and RevOps owners according to the quoted transaction.

Decision test
Ask whether the source changes the decision itself, the evidence required, the implementation sequence, or only the language used to describe an existing capability. Record which claims are directly supported, which are provider statements, which require an independent test, and which remain unknown.
